Terms & Conditions
Last updated: 10/06/2026
1. Introduction
These Terms & Conditions ("Terms") govern your use of https://eightarrowstravel.com (the "Website") and any travel proposals, orders, bookings, or services arranged through Eight Arrows Travel. By using the Website, submitting an inquiry, or placing an order, you agree to these Terms.
Please read them together with our Privacy Policy & Cookie Policy. If you do not agree with these Terms, please do not use the Website or our services.
Specific trips, packages, cruises, or travel services may carry additional conditions, which will be provided to you before booking. Where those specific conditions differ from these Terms, the specific conditions apply to that booking.
2. Company information
The Website and our services are operated by:

3. Use of the website
You may use the Website for lawful purposes only: to browse our services, request travel proposals, and place orders where this option is available. You agree to provide accurate information when contacting us or placing an order, and not to use the Website in any way that could damage, disable, or impair it.
4. Website content and travel information accuracy
We take care to keep the information on the Website accurate and up to date. However, travel information — including itineraries, descriptions, images, schedules, availability, ships, accommodation, routes, and services — is indicative and may change. Photographs are illustrative and may not depict the exact ship, cabin, room, vehicle, or location you will receive.
The details that apply to your specific trip are those stated in your written proposal and booking confirmation, not the general content of the Website.
5. Travel proposals, availability, and pricing
Travel proposals we prepare for you are personalised suggestions based on availability and pricing at the time of preparation. Proposals are not bookings: availability and prices are not guaranteed until a booking is confirmed in accordance with Section 10.
Prices may change between proposal and confirmation due to supplier pricing, currency movements, fuel surcharges, taxes, port charges, local fees, or availability. We will always tell you the final price before you commit to a booking.
6. Orders and booking requests
Where the Website allows you to place an order or booking request, including through an online checkout system, submitting an order constitutes a request to purchase the relevant service. Your order is an offer; a contract is formed only when we confirm the booking as described in Section 10.
We may decline or be unable to accept an order, for example where a service is no longer available, where pricing was displayed in error, where supplier confirmation cannot be obtained, or where required customer information has not been provided. In that case, any amount you have paid for that order will be refunded, unless otherwise stated by applicable supplier terms or law.
7. Prices, currency, taxes, and errors
Unless stated otherwise, prices on the Website are shown in euros (€) and include VAT where applicable. Additional costs that are not included in the price — such as local taxes, port charges, resort fees, optional excursions, gratuities, city taxes, or supplier fees — will be indicated where relevant or stated in your proposal.
In the event of an obvious pricing or typographical error, we are not obliged to provide the service at the incorrect price. If an error affects an order you have placed, we will contact you with the option to confirm at the correct price or cancel with a full refund of amounts paid for that order.
8. Payments and accepted payment methods
Payments, where offered online, are processed securely by [Payment Provider]. Accepted payment methods: [Accepted Payment Methods].
We do not store full payment card details on our servers. Payment processing is subject to the payment provider's own terms and privacy policy.
For certain bookings, payments may be made by bank transfer, payment link, card payment, or another method confirmed to you in writing before booking.
9. Deposits, cruise payments, and balance payments
Some bookings require a deposit to secure the reservation, with the balance payable at a later date. The applicable deposit and balance terms for your booking will be stated in your proposal or booking confirmation.
If a balance payment is not received by the stated due date, the booking may be treated as cancelled by the customer, and the cancellation terms in Section 16 may apply.
Cruise payment terms
For cruise bookings, unless otherwise stated in your proposal or booking confirmation:
- A deposit of 25% of the cruise price per person is required within the first 7 days in order to secure the reservation.
- The final balance payment is required 90 days before departure.
10. Order and booking confirmation
A booking is confirmed only when we send you a written booking confirmation, normally by email, after receiving any required payment and, where applicable, confirmation from the relevant travel suppliers.
Please check your booking confirmation carefully on receipt and contact us immediately at info@eightarrowstravel.com if any detail is incorrect.
11. Customer responsibility for correct details
You are responsible for ensuring that all details you provide — including traveller names exactly as they appear on passports or identity documents, dates of birth, contact details, passport details, travel preferences, and any special requirements — are accurate and complete. Corrections after confirmation may not always be possible and may involve supplier fees, which will be passed on to you where they apply.
12. Travel documents, passports, visas, and entry requirements
You are responsible for ensuring that every traveller in your party holds valid travel documents — including passports, visas, identity cards, and any required permits — and meets the entry, transit, and health requirements of the countries visited. Requirements vary by nationality and may change at short notice; we recommend checking with the relevant embassies, official government sources, or competent authorities before travelling.
We can provide general guidance, but we are not responsible for refusal of entry, denied boarding, missed travel, cancellation charges, or costs arising from missing, expired, invalid, or incomplete documentation.
13. Travel insurance
We strongly recommend that all travellers hold adequate travel insurance covering, at minimum, medical expenses, cancellation, repatriation, delays, lost luggage, and supplier failure where available.
Insurance requirements may apply to specific trips or suppliers; where this is the case, it will be stated in your proposal or booking confirmation. It is your responsibility to ensure that your insurance policy is suitable for your trip and covers your personal circumstances.
14. Changes requested by the customer
If you wish to change a confirmed booking — such as dates, travellers, cabin or room category, itinerary elements, transfers, or services — we will do our best to accommodate the request. Changes depend on supplier availability and terms, and may involve charges from suppliers and/or an amendment fee. We will tell you the cost of any change before it is made, and no change will be applied without your approval.
15. Changes made by Eight Arrows Travel or suppliers
Occasionally, we or our suppliers may need to change elements of a confirmed booking — for example, itinerary adjustments, schedule changes, departure time changes, accommodation changes, cruise changes, or substitution of services of a comparable standard. Minor changes do not entitle you to cancel or claim compensation.
If a significant change is made to an essential element of your booking, we will inform you without undue delay and offer you the choice, where the law provides, to accept the change, accept a suitable alternative if available, or cancel with a refund of amounts paid for the affected service. Your statutory rights, including under package travel legislation where it applies, remain unaffected.
16. Cancellations by the customer
If you need to cancel a confirmed booking, you must inform us in writing at info@eightarrowstravel.com. The effective cancellation date is the date on which we receive your written cancellation request.
Cancellation charges depend on the specific trip, the suppliers involved, the travel dates, and how close to arrival or departure the cancellation is made. Non-refundable services, supplier charges, and any applicable handling fees may also apply.
Important: Cancellation charges below are calculated as a percentage of the total program price, excluding non-refundable services. Any non-refundable services remain non-refundable where applicable.
General cancellation policy
| Cancellation period | Cancellation charge |
|---|---|
| More than 60 days before arrival | No cancellation penalty. A €50 handling fee applies. |
| 59–46 days before arrival | 20% of the total price + €50 handling fee. |
| 45–31 days before arrival | 35% of the total price + €50 handling fee. |
| 30–16 days before arrival | 60% of the total price + €50 handling fee. |
| 15 days or less before arrival or no-show | 100% of the total price. |
Cruise cancellation policy
Cruises have a different cancellation policy. Unless otherwise stated in your proposal or booking confirmation, the following cruise cancellation terms apply:
| Cancellation period | Cancellation charge |
|---|---|
| Up to 120 days before embarkation | No cancellation penalty. A €100 handling fee applies. |
| 119–90 days before embarkation | 20% of the cruise fare + €100 handling fee. |
| 89–60 days before embarkation | 35% of the cruise fare + €100 handling fee. |
| 59–45 days before embarkation | 50% of the cruise fare + €100 handling fee. |
| 44 days or less before embarkation or no-show | 100% of the cruise fare. |
The cancellation terms that apply to your booking will be stated in your proposal or booking confirmation before you commit. Where suppliers impose their own cancellation charges, these are passed on as part of the cancellation cost.
17. Cancellations by Eight Arrows Travel or suppliers
In the rare event that we or a supplier must cancel a confirmed booking — for example, where a cruise departure is withdrawn, a service becomes unavailable, or a minimum participant number is not reached — we will inform you as soon as possible and offer, where available, a suitable alternative or a refund of amounts paid for the cancelled service, in accordance with applicable law and the relevant supplier terms.
18. Refunds
Where a refund is due, it will be processed to the original payment method unless agreed otherwise. Refund timing may depend on the payment provider, banking system, and on when supplier refunds are received.
Any applicable cancellation charges, handling fees, supplier fees, bank charges, and non-refundable services may be deducted from the refundable amount. Parts of a booking that have already been used, delivered, or confirmed as non-refundable are not refundable except where the law provides otherwise.
19. Right of withdrawal / cooling-off rights
Under EU consumer law, consumers generally have a 14-day right of withdrawal for distance contracts. However, please note an important exception:
The 14-day right of withdrawal does not apply to services related to leisure activities — including accommodation, transport, vehicle rental, catering, and travel services — where the contract provides for a specific date or period of performance. This covers most trips, cruises, and date-specific travel arrangements.
Where a service we sell does not fall under this exception, your statutory withdrawal rights apply and we will inform you of them before purchase. Cancellation of date-specific travel services is governed by Sections 16–18 of these Terms, not by the cooling-off rules.
20. Travel and date-specific service exceptions
Because travel services are tied to specific dates, vessels, capacity, supplier commitments, and availability, they differ from ordinary online purchases. Availability is perishable, and suppliers commonly apply their own non-refundable elements and deadlines. Where this affects your booking, the relevant rules will be set out in your proposal or booking confirmation, and those rules form part of your contract with us.
21. Package travel and linked travel arrangements
Where the combination of travel services we sell to you constitutes a "package" or a "linked travel arrangement" within the meaning of applicable package travel legislation, you benefit from the rights granted by that legislation, including rules on information, changes, cancellation, and insolvency protection. Before you book, we will provide the standard information form and details of how those rights apply to your booking where required.
Where the services you purchase do not constitute a package or linked travel arrangement, those specific protections do not apply, and the terms of the individual suppliers and these Terms govern your booking.
22. Third-party travel suppliers
Many of the services we arrange — cruises, accommodation, transfers, excursions, transportation, and other travel components — are provided by third-party suppliers under their own terms and conditions, which apply to your booking in addition to these Terms. We will make supplier terms available to you on request or before booking where required.
Where we act as an intermediary for a supplier, the contract for the travel service itself is between you and that supplier, and our responsibility is to arrange the booking with reasonable skill and care.
23. Special requirements, health, accessibility, and dietary needs
Please tell us about any special requirements — including reduced mobility, accessibility needs, health conditions relevant to travel, pregnancy, medical equipment, or dietary requirements — at the time of inquiry or before booking. We will pass these to the relevant suppliers and inform you honestly about whether a trip is suitable. We cannot guarantee that every requirement can be met by every supplier, but we will never knowingly recommend an unsuitable arrangement.
24. Force majeure — unavoidable and extraordinary circumstances
Neither we nor our suppliers are liable for failure or delay in performing obligations caused by unavoidable and extraordinary circumstances beyond reasonable control — including, for example, natural disasters, severe weather, epidemics or health emergencies, acts of government, strikes, security incidents, war, civil unrest, port closures, flight disruption, or disruption of transport infrastructure. In such cases, the remedies provided by applicable law and the relevant supplier terms apply.
25. Limitation of liability
Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law, including liability arising under mandatory consumer protection or package travel legislation.
Subject to the above, we are not liable for: losses caused by events outside our reasonable control; losses arising from inaccurate information you provide; the acts or omissions of third parties unconnected with the provision of your booking; or indirect losses that were not foreseeable when the booking was made. Where we act as intermediary, our liability is limited to the proper performance of our intermediary role.
26. Intellectual property
All content on the Website — including text, design, graphics, logos, images, layouts, and brand elements — belongs to Eight Arrows Travel or its licensors and is protected by intellectual property law. You may not copy, reproduce, distribute, modify, or reuse Website content for commercial purposes without our prior written consent.
27. Prohibited use
You must not use the Website to: submit false or fraudulent inquiries or orders; attempt to gain unauthorised access to any systems; transmit malicious code; scrape or harvest data; interfere with website operation; or infringe the rights of others. We may restrict access to the Website where these Terms are breached.
28. Privacy and cookies
Our processing of personal data, and the cookies used on the Website, are described in our Privacy Policy & Cookie Policy, which forms part of these Terms by reference.
29. Governing law and disputes
These Terms are governed by Greek law, without prejudice to any mandatory consumer protections you enjoy under the law of your country of residence within the EU. Disputes will be subject to the jurisdiction of the competent courts of Greece, unless mandatory law provides otherwise.
Consumers in the EU may also use alternative dispute resolution where applicable. The European Commission's Online Dispute Resolution platform is available at https://ec.europa.eu/consumers/odr.
